Last updated 18 October 2026. This Privacy Policy applies to singaporetranslator.com and to every order placed with Singapore Translators.

The short version

  • We collect only what we need to quote, translate, certify and deliver your documents.
  • Your files are seen only by the assigned translator, the reviewing linguist and your coordinator.
  • Documents are securely deleted 30 days after delivery unless you ask us to keep them longer.
  • We never sell or share your documents, and never use them to train any language model.
  • You can ask to access, correct or delete your personal data at any time.

Who we are

This website, singaporetranslator.com, is operated by Singapore Translators, a Singapore-registered certified translation agency (“we”, “us”, “our”). We handle personal data under the Personal Data Protection Act 2012 (PDPA) and the laws of Singapore.

This policy applies to everyone who visits the website, requests a quote, places an order or contacts us by WhatsApp, email, phone or in person at our Suntec Tower One office.

The personal data we collect

We only collect what is needed to prepare a quote, complete your order and stay in touch about it:

  • Contact details — your name or company name, email address, phone / WhatsApp number and country code.
  • Order details — the service required, languages, document type, purpose, the authority you are submitting to, deadline, page count and any message you add.
  • Your documents — the files you upload or send us, and the translations we produce. These often contain personal data about you or your family (for example names, dates of birth, NRIC / passport numbers, addresses and civil status).
  • Delivery and billing details — a delivery address for hard copies, and the payment reference. Card payments are handled by the payment provider; we do not store full card numbers.
  • Technical data — basic information your browser sends when you visit (such as IP address, browser type and pages viewed), used to keep the site secure and working. See our Cookie Policy.
Sending documents about someone else? If a document belongs to a family member or another person, please make sure you are allowed to share it with us for translation. We treat their data with exactly the same care as yours.

How we use your data

We use your personal data only for these purposes:

  • to prepare a fixed quote and confirm the delivery date;
  • to translate, review, certify and — where you ask for it — arrange notarisation or legalisation of your documents;
  • to deliver the certified PDF by email and printed copies by courier or for collection;
  • to take payment, issue receipts and invoices, and keep the accounting records the law requires;
  • to reply to your questions and send updates about your order by WhatsApp, email or phone;
  • to re-translate free of charge if a submission is rejected because of an error on our side;
  • to keep the website secure and to understand, in aggregate, how it is used.

We do not use your documents for marketing, and we do not send newsletters unless you have asked for them.

Who can see your documents

Access is limited to the people who need it to complete your job: the assigned translator, the reviewing linguist and your project coordinator. No one else on the team can open the file. Every linguist works under a signed confidentiality undertaking covering all files they handle.

A mutual non-disclosure agreement (NDA) can be signed before you send anything — standard practice for law firms, corporate clients and anyone handling a sensitive personal matter.

When we share data with others

We never sell, rent or trade your personal data or your documents. We share them only where needed to deliver what you ordered, or where the law requires it:

How long we keep it

Source documents and translations are securely deleted 30 days after delivery, unless you ask us to keep them for a repeat submission or an extra printed set. Contact details and order records (without the documents) are kept for as long as needed for accounting, tax and legal purposes, and then deleted.

How we protect it

  • Uploads and downloads run over encrypted connections (TLS).
  • Files are stored with access limited to the people working on your job.
  • Printed copies can be handed over in person at our office if you prefer not to use a courier.
  • Client documents are never used to train machine translation or any AI language model.

No method of transmission over the internet is completely secure, but we take reasonable and appropriate measures to protect your data against unauthorised access, loss or misuse.

Your rights

Under the PDPA you can:

  • ask for a copy of the personal data we hold about you and how it has been used;
  • ask us to correct personal data that is inaccurate or incomplete;
  • withdraw consent for us to use your data (we will explain what that means for any order in progress);
  • ask us to delete your documents earlier than the standard 30 days.

Email info@singaporetranslator.com with your request. We will reply within 30 days, and usually much sooner.

Transfers outside Singapore

Some of our service providers (for example email or cloud hosting) may store data on servers outside Singapore. Where that happens we make sure the data receives a standard of protection comparable to the PDPA.

Changes to this policy

We may update this policy from time to time. The “last updated” date at the top shows when it last changed. Significant changes will be highlighted on this page.
